This notice explains how we look after your data and your privacy rights. We're the "data controller" of the information you provide to us.

How we collect your data

We collect your personal data when you interact with us or use our services — for example, when you fill in a booking, request a commercial quote, or apply to join us as a cleaner. We use this information to provide the requested service and improve the experience for all users.

We collect your data when you:

• Browse and interact with our website

• Book a clean or pay for a service

• Submit a commercial quote request

• Apply to join OPTIMAL as a cleaner

• Contact our customer service team

• Give us feedback or leave a review

We also collect technical information from third-party providers such as advertising platforms and analytics services.

The data we collect about you

We want to be open and transparent about the data we collect. We may collect and record the following types of information:

Booking & customer information — name, contact details, address, postcode, payment information, booking history, communications with us.

Cleaner application information — name, photo, contact details, date of birth, location, emergency contact, right to work, unspent criminal convictions (where applicable), experience, availability, bank details, National Insurance number, signed service-provider agreement.

Transaction information — bookings completed, location, duration, payments, tips, allocation history.

Feedback — customer ratings, late-cancellation rates, reviews.

Usage information — IP address, browser, operating system, referral source, page views, navigation paths.

Support requests — email, phone, chat or SMS interactions and any related metadata.

Marketing — subscription details, communication preferences, content you post on our channels.

Before disclosing another person's personal information to us, you must obtain their consent. We also collect aggregated, anonymous data which is not personal data. Our services are not intended for children and we do not knowingly collect data relating to children.

How we use your data

We will only use your personal data when the law allows us to. Most commonly:

• To perform the contract we have entered into with you

• To comply with a legal or regulatory obligation

• For our legitimate interests (using a balancing test to ensure your rights are not overridden)

Where the basis is contract, we may use your data to manage your account, give you access to our services, communicate about bookings, resolve issues, calculate cleaner earnings, send operational communications, deal with complaints, keep our services secure and prevent fraud.

Where the basis is legitimate interests, we may research and improve our services, send you marketing (you can opt out at any time), request feedback, and provide anonymised statistical information to partners.

Where the basis is a legal obligation, we may keep records of transactions and comply with regulatory requirements.

We carry out background checks (including unspent criminal convictions) on cleaner applicants in the public interest to protect customers, other cleaners and the OPTIMAL platform. We may use limited profiling or automated decision-making — for example when assessing cleaner applications. You can object to this at any time (see your rights below).

Disclosures of your data

Information we collect is stored on servers located within the EU. We are careful and transparent about who else your information is shared with.

We may disclose your personal information to:

• Any member of our group of companies, insofar as reasonably necessary

• Our employees, insurers, professional advisers, agents, suppliers or subcontractors, as reasonably necessary

• Customers and cleaners — limited personal data so bookings can be completed

• Third-party service providers, including:

– Payment providers (Stripe) to bill for services

– Customer service software providers (email, chat, SMS)

– Marketing and advertising partners

– Referral partners

We may also disclose your information where required by law, in legal proceedings, to defend our legal rights, or to the purchaser of any business or asset we are selling.

International data transfers

Information we collect may be processed outside the UK and/or EEA, and these countries may not have data-protection laws equivalent to those in force in the UK and/or EEA. We ensure your data is processed with the same protections and safeguards as if it remained inside the UK or EEA.

Whenever we transfer your personal data out of the UK/EEA we use at least one of the following safeguards:

• Transfers to countries recognised as providing an adequate level of data protection

• The UK International Data Transfer Agreement (IDTA)

• The European Commission's Standard Contractual Clauses (SCCs), with the UK Addendum where required

• The EU-US Data Privacy Framework and UK Extension, where applicable

Where required by law, we carry out transfer risk assessments to ensure protections remain adequate in practice.

Data security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. We limit access to those employees, agents, contractors and third parties who have a business need to know.

We have procedures to deal with any suspected personal data breach and will notify you and any applicable regulator where legally required.

You acknowledge that the transmission of information over the internet is inherently insecure and we cannot guarantee the security of data sent over the internet. You are responsible for keeping your password confidential.

Data retention

We retain your personal data only as long as necessary to fulfil the purposes we collected it for, including legal, accounting and reporting requirements.

We consider the amount, nature and sensitivity of the data, the risk of unauthorised use, the purposes of processing, and applicable legal requirements.

In some circumstances you can ask us to delete your data (see Your rights below). We may anonymise your personal data for research or statistical purposes and retain that anonymous data indefinitely.

Our website uses cookies. A cookie is a small file containing an identifier sent by a web server to your browser and stored by the browser, then sent back to the server on future requests.

Cookies may be persistent or session cookies. Persistent cookies are stored until expiry; session cookies expire when you close your browser. Cookies do not typically identify users, but personal information we store about you may be linked to cookie data.

We use cookies to: recognise your device, track navigation, enable the booking system, improve usability, analyse use of the website, administer the site, prevent fraud, personalise content, and serve relevant advertising.

We use Google Analytics and similar tools to collect and analyse website statistics. Google's privacy policy is available at policies.google.com/privacy.

Most browsers let you refuse cookies. Blocking cookies may impact the usability of our site and prevent you from using some features.

Your rights

Under UK data-protection law you may have the following rights. To exercise any of these please contact our Data Protection Officer.

• Right to rectification — correct any incomplete or inaccurate data

• Right of access — receive a copy of the personal data we hold (a 'subject access request')

• Right to erasure — ask us to delete your data where there is no good reason for us to continue processing it

• Right to restrict processing — ask us to suspend processing

• Right to data portability — receive your data in a structured, commonly used, machine-readable format

• Right to object — including to marketing emails (opt out at any time)

• Right to object to automated processing

We may need to confirm your identity for security. We don't usually charge a fee unless a request is clearly unfounded, repetitive or excessive. We aim to respond to legitimate requests within one month.

You also have the right to complain to the UK Information Commissioner's Office at any time.
